Usage Rules, Accommodation Agreement & Legal Disclosures


These Usage Rules and Accommodation Agreement (hereinafter "the Rules") apply to all guests (hereinafter "Guest") staying at Comfybed Ginza (hereinafter "the Hotel").

The Rules constitute the terms of sale displayed at the time of reservation and set out the basic conditions of the accommodation contract.

In addition to agreeing at the time of reservation, Guests are required to consent to the formal Accommodation Agreement and related policies during the pre-check-in registration process (including via Autohost).

The accommodation contract is finalised upon formal consent before check-in.

1. Identification and Registration Requirements

When applying for an accommodation contract, the Guest must complete the following pre-registration via the Hotel's designated online registration form by 9:00 p.m. (Japan Standard Time) on the day of check-in. If pre-registration is not completed, the contract shall be deemed not concluded and the cancellation policy will apply.

Information Required

A)Full name, address, telephone number, nationality, occupation, age, gender, arrival and departure dates, previous and next accommodation
B)A copy of a government-issued photo ID (driver's licence, residence card, My Number Card, passport, etc.)
C)Valid credit card information in the same name as the identification document above

Required Documents by Guest Category

A)Non-Japanese nationals without a registered address in Japan: Submission of a passport image is mandatory under Article 6 of the Enforcement Regulations of the Inn Business Act and the Tokyo Metropolitan Inn Business Act Enforcement Ordinance. The Hotel will retain a copy.
B)Guests with a registered address in Japan: Although there is no statutory obligation to present identification, Guests are requested to submit an image of their ID document (driver's licence, residence card, My Number Card, etc.) via the online registration form for the purposes of security management, fraud prevention, and accurate maintenance of the guest register. The Hotel will retain a copy.

Handling of Identification Documents

A)Submitted identification documents will be retained for three (3) years and disposed of or deleted by an appropriate method after the retention period.
B)Identification documents and guest information will not be provided to third parties or used for other purposes, except where required by law or pursuant to a formal disclosure request from an administrative or judicial authority.
C)If the Guest fails to submit the required identification documents, the Hotel may refuse to conclude or fulfil the accommodation contract.

2. Check-in and Check-out

A)Check-in: 3:00 p.m. – 9:00 p.m.  /  Check-out: by 10:00 a.m.
B)After 9:00 p.m., self check-in is available only for Guests who have completed pre-registration.
C)Front desk hours: 9:00 a.m. – 9:00 p.m. After 9:00 p.m., inquiries are accepted by message only.
D)Check-out must be completed via the Guest Portal.
E)If the Guest fails to check out without prior approval, the Hotel may remove belongings from the room. A removal fee of JPY 4,400 will be charged in addition to the late check-out fee, and the Hotel is not liable for any damage to the items.

Outside-hours Charges

A)Late check-out: JPY 2,200 (tax incl.) from 10:00 a.m. to 12:00 p.m.; full night rate after 12:00 p.m.
B)Early check-in: JPY 2,200 (tax incl.) from 1:00 p.m. to 3:00 p.m.; full night rate before 1:00 p.m.

Reservation Changes and Room Assignment

A)Once the free cancellation period has passed, the check-in date and reservation period cannot be changed or shortened.
B)Rooms are automatically assigned by the reservation system; Guests cannot request a specific room. If a room change is requested and approved, one night's charge for the original room applies.

Consecutive Reservations

A)Multiple reservations in which the check-out date of the preceding reservation is the same as the check-in date of the succeeding reservation are referred to as “Consecutive Reservations” and shall be treated as separate and independent accommodation contracts. The deposit and access code are set and issued individually for each reservation.
B)The assignment of the same room shall be made at the Hotel's discretion and is not guaranteed.
C)The access code for the preceding reservation expires at 10:30 a.m., and the access code for the succeeding reservation becomes valid at 3:00 p.m. During this interval, if the Guest remains continuously in the room, the late check-out fee shall not apply. If the Guest leaves the room, re-entry will not be possible until 3:00 p.m. Luggage may be kept in the room during this time.

3. Cleaning, Linen Exchange, and Amenities

Daily cleaning is not provided. Please review the schedule below.

Complimentary Cleaning Schedule (Check-in day = Day 1)

A)Towel exchange: Days 3, 5, 7, then every 2 days
B)Room cleaning: Days 5, 9, 13, then every 4 days
C)Linen exchange (incl. bed making): Days 13, 25, then every 12 days
D)To opt out, notify the Hotel by 10:00 p.m. the previous day. Cleaning is carried out between 10:30 a.m. and 3:00 p.m.; staff may enter the room if the Guest is absent.
E)For consecutive reservations in the same room, this schedule is applied cumulatively, counting the check-in day of the first reservation as Day 1.

Additional amenities (hairbrush, razor, toothbrush): JPY 165 each. Requests and payment must be completed by 10:00 p.m. the previous day via email or message.

4. Luggage, Deliveries, and Parcels

A)Luggage exceeding 158 cm in total dimensions (e.g. snowboards, surfboards, bicycles) is not permitted inside guest rooms. If storage space is available, items may be stored at JPY 1,100 per day (advance confirmation required).
B)Luggage storage on check-in/out days is available from 9:00 a.m. to 9:00 p.m. (max. 158 cm total / 30 kg; no valuables or perishables). Items not collected by 9:00 p.m. incur JPY 660 per day.
C)Courier parcels must be prepaid (C.O.D. not accepted); max. 60 cm total / 2 kg, up to twice per week. Please collect by 9:00 p.m. on the day of delivery. Forwarding after check-out costs JPY 550 (international forwarding unavailable).
D)Please notify the Hotel in advance for all deliveries. Unannounced items may be refused.

5. Shared Facilities and Equipment

A)Eating, drinking, and video conferencing are not permitted in the lounge. The Hotel is not liable for theft or loss of personal belongings.
Air conditioning is centrally managed for the entire building. Individual temperature or mode adjustments per room are not available. The air conditioning may be suspended or switched to fan-only mode between 10:00 a.m. and 3:00 p.m. daily for maintenance. The seasonal switch between heating and cooling occurs approximately in April and November; room temperature may not meet expectations around these periods. No refund or compensation will be provided for these reasons.
B)Window-opening handles are available at the front desk; please return by 9:00 p.m. on the same day.
C)Wi-Fi is suspended every Monday, Wednesday, and Thursday from 4:00 a.m. to 4:05 a.m.
D)Restaurant and taxi reservation services are not provided.
E)Mandatory inspections, maintenance, and fire drills may require staff entry to guest rooms or temporary suspension of utilities or lifts.

6. In-room Rules

Due to the building's structure, sounds from adjacent and upper/lower rooms (conversation, footsteps, door openings, etc.) may be audible. The Hotel accepts no liability for discomfort or sleep disturbance caused by such noise.
The Hotel's air conditioning system is centrally managed throughout the building. Due to its structure, sounds may be generated by refrigerant and drainage flowing through the pipes. This is a normal part of the system's operation, and the Hotel accepts no liability for any discomfort or sleep disturbance arising from such sounds.
A)Guests must maintain quiet between 10:00 p.m. and 8:00 a.m.
The use of perfume, incense, aroma diffusers, sprays, and all other fragrances is prohibited inside the room. Bringing in or cooking foods with strong odours (such as kimchi, durian, or seafood) is also prohibited. If odours requiring special cleaning are confirmed, associated costs will be charged.
B)Rubbish must be placed outside the room door by 10:00 a.m.
C)Food deliveries must be collected by the ordering Guest in person at the 1st-floor lounge.
D)To prevent overflow, drain bathtubs and washbasins in several stages rather than all at once.

8. Prohibited Conduct and Safety

1.Age restriction: Guests aged 12 and under may not stay. Guests under 18 must be accompanied by a parent or guardian.
2.The entire premises are non-smoking (including e-cigarettes). If smoking is confirmed, a minimum charge of JPY 100,000 applies.
3.Animals and pets are not permitted (service animals under the Act for Assistance Dog for Physically Disabled Persons excepted).
4.Visitors are not permitted inside guest rooms and the room may not be used for purposes other than accommodation. Violations may incur a minimum charge of JPY 100,000 per night.
5.Video recording, live streaming, commercial photography, and solicitation activities are prohibited throughout the premises.
6.If the room cannot be provided after normal cleaning due to vomiting or similar acts, a minimum charge of JPY 55,000 applies.
7.Exceeding the room's occupancy limit incurs a contractual penalty equal to the accommodation charge.
8.If a warned nuisance act recurs, the accommodation contract will be immediately terminated and remaining charges will not be refunded.
9.CCTV and electronic access logs are used for security management and rules compliance.

9. Security Deposit

1.To secure payment obligations and cover potential facility damage, a pre-authorisation (credit hold) is placed on the registered credit card.
2.If the pre-authorisation is not approved, the accommodation contract is not concluded and the cancellation policy applies.
3.Provided no additional charges or damages arise, the pre-authorisation will be released within seven (7) days after check-out.
4.For credit cards, only a pre-authorisation is processed; no actual charge is made unless damage or unpaid amounts arise. This does not normally affect the account balance.
5.The Hotel requires a credit card for deposit registration. If a debit card is registered, a temporary charge may occur at pre-authorisation. If the card issuer processes this as an immediate charge, the Hotel may deduct the payment processing fee from the refund amount.
6.For digital wallets (Alipay, WeChat Pay, PayPay, etc.), a pre-authorisation equivalent is not available; an immediate charge equal to the deposit amount is processed at check-in. Upon refund, the payment processing fee charged by the Hotel's payment service provider will be deducted. By selecting a digital wallet, the Guest consents to this deduction.

10. Payment of Accommodation Charges

1.For OTA reservations, payment is completed on the OTA platform. For direct reservations, payment is made at the time of contract conclusion by the method designated by the Hotel.
2.Additional service charges (early check-in, late check-out, extra cleaning, etc.) become payable at the time of request.
3.If additional charges are not settled, the Hotel may apply the deposit or charge the registered credit card.

A)For OTA reservations, the OTA cancellation policy takes precedence.
B)Cancellation timing is determined by when the Guest communicates the intention to cancel.
C)Cancellation must be communicated by email or through the Hotel's official website.
D)Changes or shortening of the reservation period are treated as cancellations.
E)Failure to complete pre-registration (ID, agreement, and pre-authorisation) is also treated as a cancellation.

12. Governing Law, Jurisdiction, and Language

This Agreement is governed by the laws of Japan. Disputes shall be subject to the exclusive jurisdiction of the Tokyo Summary Court or Tokyo District Court. In the event of any discrepancy between the Japanese and English versions, the Japanese version shall prevail.
